File Formats We Accept

Images (most common)

  • JPEG / JPG — photos from your phone or camera
  • PNG — screenshots or high-quality images
  • HEIC / HEIF — iPhone photos (no need to convert)
  • TIFF — high-resolution scanned images

Documents

  • PDF — scanned or digital PDFs
  • Word (.doc, .docx) — Microsoft Word documents
  • Google Docs — shared via link

Other Formats

  • BMP — bitmap images
  • GIF — (for single-page images)
  • WebP — web-format images

Bottom line: If you can see the text clearly, we can translate it. We accept virtually any common image or document format.

Tips for Best Results

Phone photos work great. You don’t need a scanner. Most of our clients submit photos taken with their phone. Just follow these tips:

  1. Lay the document flat on a well-lit surface
  2. Photograph the entire page — don’t cut off edges, stamps, or seals
  3. Make sure text is sharp — tap to focus before taking the photo
  4. Avoid shadows — move your hand or phone to prevent shadows on the text
  5. Photograph both sides if the document has text on front and back
  6. Include all pages — don’t skip any pages, even if they look blank (they may have stamps or seals)

If you have a scanner: 300 DPI or higher is ideal. Color scans are preferred over black and white, especially for documents with colored seals or stamps.

What to Avoid

  • Blurry or out-of-focus images — if you can’t read the text, we can’t translate it
  • Cropped images that cut off parts of the document
  • Low-resolution images where text is pixelated
  • Photos taken at an angle — try to photograph straight-on
  • Password-protected PDFs — remove the password before sending, or send us the password separately

If your image quality is borderline, send it anyway — we’ll let you know if we need a better version. We’d rather assess it ourselves than have you delay your order.

How to Submit Your Documents

Website upload: Upload directly through our order form or quote request page. Drag and drop or browse for files.

Email: Send documents to [email protected]. Attach files directly to the email.

Portal: Business account clients can upload through their dedicated account portal.

Maximum file size: 25 MB per file. If your file is larger, try compressing it or splitting it into multiple files. For very large orders, contact us for alternative upload options.

How We Deliver Your Translation

All certified translations are delivered as PDF files via email, containing:

  1. The English translation (formatted and professional)
  2. The certificate of accuracy (signed)
  3. A copy of the original document (for reference)

If you need the translation in a different format (Word, etc.), let us know at the time of order.
